One page, four blocks

  1. Problem (5 lines). Current process, who hurts, last failure.
  2. Proposed fix (5 lines). Named build or product, what changes for staff and families.
  3. Money (3 lines). Band, what is included, what is not, ongoing care if any.
  4. Ask (2 lines). Approve Discovery Sprint / approve build / approve pilot dates.

Attach only two things

  • A screenshot or short loom of the broken process (optional)
  • A one-page vendor overview — not a brochure archive

Circulate early

Boards hate surprises in the meeting. Send the one-pager 72 hours ahead. Offer a 15-minute pre-call to the treasurer or tech-curious member. The meeting then becomes ratification, not discovery.
